Privacy Policy
This policy describes the personal information My Tennis Ladder collects, how it is used, who can see it, and the choices available to players and club administrators.
1. Notice at collection
My Tennis Ladder collects personal information to provide club ladder and tournament services, authenticate accounts, coordinate matches, process paid registrations, send service messages, secure the platform, support clubs and players, and comply with legal obligations. We do not sell personal information or share it for cross-context behavioral advertising.
The categories collected are described below. We retain information for as long as needed to provide the service, keep competition and payment records accurate, resolve disputes, meet legal obligations, maintain security, and support clubs.
2. Information you provide
We collect information you provide directly, including:
- Name, email address, phone number, password, and profile details.
- Optional player details such as ratings, playing hand, backhand, playstyle, home court, availability, and bio.
- Club memberships, roles, invite status, and administrator actions.
- Ladder participation, rankings, challenges, match scores, disputes, leave-of-absence details, and player notes.
- Tournament registrations, seeds, draws, standings, score workflows, and event history.
- Optional scouting-report selections submitted after matches.
- Messages or requests you send to My Tennis Ladder or your club administrators.
If you sign in with Google, we may receive basic account information from Google, such as your name, email address, profile image, and provider account identifier.
3. Payment information
When a ladder or tournament requires paid registration, payment is processed through Stripe Checkout. My Tennis Ladder may store payment ledger details such as gross amount, currency, platform fee, club share, checkout status, registration status, Stripe customer ID, Checkout Session ID, PaymentIntent ID, charge or refund references, and payment timestamps. We do not store full card numbers.
4. Information collected automatically
We and our hosting, database, authentication, email, payment, monitoring, and infrastructure providers may automatically receive technical information such as IP address, device and browser details, request logs, authentication cookies, pages visited, timestamps, and error diagnostics. This information is used to run, secure, debug, and improve the service.
5. Sources of information
We collect information from you, club administrators, platform administrators, authentication providers such as Google when enabled, payment processors such as Stripe, and operational service providers that help run the platform.
6. How we use information
We use personal information to:
- Create, verify, authenticate, secure, and support accounts.
- Operate club ladders, tournaments, rankings, challenges, score submissions, confirmations, disputes, announcements, and player profiles.
- Help players and club administrators coordinate matches and manage club membership.
- Process paid registrations, maintain payment ledgers, handle refunds, and reconcile club shares.
- Send service-related emails, including verification, password reset, invite, challenge, match, payment, and announcement messages.
- Create anonymous, thresholded scouting-report summaries where enough distinct reporters exist.
- Detect misuse, enforce our Terms, troubleshoot issues, and protect the service.
- Comply with legal obligations and respond to lawful requests.
7. Phone numbers and email addresses
Phone numbers are collected so club members can coordinate ladder matches. Your phone number may be visible to other members of clubs you belong to, club administrators, and platform administrators. Your email address is used for account access, verification, password resets, service notifications, club administration, and support. Club administrators and platform administrators may see member email addresses for legitimate administrative purposes.
8. Player profiles and scouting reports
Tenant-scoped player profiles may show members of the same club profile details, ratings, ladder and tournament activity, recent match history, availability, and contact actions. Email addresses are not intended for general member profile display, but club administrators and platform administrators may see them for administrative purposes.
Scouting-report feedback is designed to be anonymous at the profile summary level. Summaries require enough distinct reporters before they are shown, and low-frequency tags are suppressed to reduce the chance of identifying a specific feedback author.
9. How information is shared
We may share information in these limited ways:
- With members of your club, where needed for ladder participation and match coordination.
- With club administrators, who manage members, ladders, tournaments, disputes, announcements, courts, payments, and settings for their club.
- With platform administrators who operate and support My Tennis Ladder.
- With service providers that host, store, authenticate, process payments, send email, monitor, or secure the service.
- When required by law, legal process, safety needs, or to protect rights and prevent misuse.
- In connection with a merger, acquisition, financing, reorganization, or sale of assets, subject to appropriate protections.
We do not sell personal information. We do not use phone numbers for third-party advertising.
10. Cookies and authentication
My Tennis Ladder uses cookies and similar technologies for sign-in, session security, tenant routing, and basic service operation. If you block cookies, parts of the service may not work correctly.
11. Retention
We keep account information while your account is active or as needed to provide the service. Some records, such as match results, rankings, tournament results, registrations, payment ledger records, disputes, membership history, invites, scouting-report records, and administrative records, may be retained after an account is deactivated when needed for competition integrity, club records, payment reconciliation, security, legal compliance, or dispute resolution. We keep technical logs according to provider and operational retention periods.
12. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. For example, credential passwords are stored as hashes rather than plain text. No online service can guarantee absolute security, so you should use a strong password and notify us if you believe your account has been compromised.
13. Your choices and rights
You may update profile details from your account profile where the service allows it. You may also contact us to request access, correction, deletion, or export of your personal information. Some requests may require identity verification, and some information may need to be retained for legitimate operational, legal, security, payment, dispute-resolution, or club-record reasons.
Depending on where you live, you may have additional privacy rights, such as the right to know, correct, delete, or receive a copy of certain personal information; to opt out of certain sale or sharing; or to limit some uses of sensitive personal information. We do not sell personal information or share it for cross-context behavioral advertising. We will not discriminate against you for exercising privacy rights.
14. Children and junior players
The service is not directed to children under 13, and we do not knowingly collect personal information from children under 13 without appropriate parent or guardian consent. If you believe a child under 13 has provided personal information without required consent, contact us so we can review and take appropriate action.
Clubs that use My Tennis Ladder with junior players are responsible for obtaining any required parent or guardian permissions before inviting those players or entering their personal information.
15. International use
My Tennis Ladder is operated from the United States. If you access the service from another country, your information may be processed in the United States or other locations where our service providers operate.
16. Changes to this policy
We may update this Privacy Policy from time to time. If changes are material, we will take reasonable steps to notify users, such as posting the updated policy in the service or requesting renewed acknowledgement.
